CoralTree Hospitality is committed to providing excellent service to all of our customers and to visitors to our Website and is committed to the security and privacy of your information. INFORMATION WE COLLECT

We may collect certain information from you when you use our Website and other Services. That information includes:

Personal Information:Personal Information, also known as “Personal Data,” is any information that can be used to identify, locate or contact you.  This includes your name, physical address, email address, telephone number, credit card information, and other identifying information.  It also includes other information such as your location, IP address, browsing history, interactions with the Website, preferences, and/or interests.  Importantly, we may collect Personal Information directly from you when you visit our Website.

We may also collect certain Personal Information from you if you  apply for employment with CoralTree Hospitality via our Website.  Such Personal Information may include information typically contained within a resume such as your name, address, contact information, employment or education history, and other information.  For more information, please see Section XIV, “Careers at CoralTree Hospitality” below.

At times, we may require you to provide certain Personal Information to use our Website, to take advantage of certain Services that we provide, or to fulfill your request with us – including when you use our Website to make a reservation, contact us via the “Connect” or “Request for Proposal” pages, email us, or establish a Web user profile. For example, if you would like to make a reservation at one of our hotels, we need to gather certain Personal Information such as name, address, telephone number, email address, and credit card number, and we may use this information in relation to fulfilling your reservation / requests and in relation to providing other Services.  For instance, we will use your email address to send a reservation confirmation and we might use other information to contact you when processing the reservation.

Generic Information:  Generic Information is information that does not directly reveal the identity of a customer or a visitor to the Website.  CoralTree Hospitality may automatically gather some Generic Information from our customers and Website visitors.  This information may include aggregate usage metrics such as total number of Website visitors, pages viewed, and usage patterns within the Website, etc.  At times, the combination of various types of data, including Generic Information, may enable you to be identified, and may therefore qualify as Personal Information.

HOW WE COLLECT YOUR INFORMATION

CoralTree Hospitality collects and obtains your information in a few ways:  there is information that you choose to give to us, information we obtain through your use our Services – including our Website – and information we obtain from third parties.  Each of these is detailed below:

Information You Give to Us

We collect certain information that you share with us.  As noted above, sometimes this is information that we require in order for you to use our Services.  For instance, when you make a reservation to stay at a hotel through our Website, we will ask you for your name, address, email address, and/or other identifying information about you.  We may require you to provide other information to use certain Services.  In addition, we collect information that you voluntarily provide through your use of the Website or other Services, such as when you contact us via email or direct message with questions, feedback, or comments about our Website, hotels, or other Services.

Information We Obtain When You Use Our Services

We also collect certain Personal Information and Generic Information from you through your use of our Services.  As noted above, we may collect certain information related to your use of, and access to, our Website and other Services.  We may also collect information through the use cookies or pixel tags as described below.

Browsing

The Website collects certain information when you browse the Website and request pages from our servers.  When you request a page from our Website, our servers log the information provided in the HTTP request header including the IP address, the time of the request, the URL of your request and other information that is provided in the HTTP header. We collect the HTTP request header information in order to make our website function correctly and provide you the functionality that you see on the Website. We also use this information to personalize content presented to you, better understand how visitors use our website and how we can better tune it, its contents, and functionality to meet your needs.  Although this information may include your IP address, this information,  by itself, will typically not identify you.  However, if you access the Website from a link in an email that we sent you, we may identify you based on the information you previously supplied to us.

Generally

Our website uses “cookie” technology.  “Cookies” are encrypted strings of text that a website stores on a user’s computer. Our website requires the use of a cookie throughout the online reservation process.  Without cookies we are not able to effectively process information you enter on multiple pages. For example, our Website needs to remember the dates you used in your hotel search to be able to check room availability.  Cookies also enable us to customize our website and offerings to your needs, and to provide you with a better online experience on our website. In addition, cookies are used to measure usage of our Website to help us make the information we provide more pertinent to you and easier for you to access.  Cookies can also provide functionality for online reservations and other services we believe will be of interest and value to you.

Session and First Party Cookies

The types of cookies that we use are referred to as “session” cookies and “first party” cookies. Session cookies are temporary, and are automatically deleted once you close your Internet browser.  First Party cookies remain on your computer hard drive until you delete them or until they are otherwise removed upon expiration.

Third Party Cookies

CoralTree Hospitality permits third-party service providers, advertisers and other companies to use cookies or other similar technologies on our Website.  These companies may collect your information, track your behavior on our Website, and gather information about your use of our Websites or Services and other online services over time and across different services.  Additionally, some companies may use information collected to deliver targeted ads on behalf of us or other companies, including on other websites or online services.  We are not responsible for the functioning of cookies and other technologies used and placed by third parties on your device.

Pixel Tags

CoralTree Hospitality and its third-party service providers also make use of pixel tags. Pixel tags are not visible to the user of the Website and consist of a small number of lines of computer code delivered within the web page. CoralTree Hospitality and our email service provider use pixel tags for a variety of purposes including:

  • To track customer responses to CoralTree Hospitality advertisements and website content;
  • To determine your ability to receive HTML-based email messages. Our email service provider includes a pixel tag, which they refer to as a “coded sensor” in all of the HTML-based messages sent on our behalf. The sensor activates when the email message is opened and flags the email address of the user as one that is capable of receiving HTML-based email messages. This capability helps our service provider to send the email in a format you can read. The sensor does not collect or use any other information. If you cannot receive HTML, you will not receive a functioning sensor;
  • To know how many users open an email and to allow our service provider to compile aggregated statistics about an email campaign for us; and
  • To allow us to deliver more focused interactive advertising, to enhance customer support and site usability, and to provide offers and promotions that we believe would be of interest to you.

In many cases, the information we collect using cookies and other tools is used to optimize our Website and to understand website traffic patterns. We may aggregate the data about visitors to our Website and use it for product and service development and to improve the quality of our products and Services.

INFORMATION WE OBTAIN FROM THIRD PARTIES

CoralTree Hospitality obtains information about you from third parties including information from third party services accounts you create, and third party providers we use to provide Services to you.

Third party accounts you create

We may allow you to access our Website using accounts you created with third party services, like Facebook (“Third Party Service Accounts”).  If you choose to access our Website through Third Party Service Accounts, these services may share certain information about you with CoralTree Hospitality.  This may include your name, email address, and your Third Party Service Account profile data.   This information is shared with CoralTree Hospitality according to the Third Party Service Account provider’s privacy policies.

Third party providers we use

CoralTree Hospitality may also collect information from various third parties about you, such as any third-party service providers who we use to provide our Services to you.  For example, if you make a reservation at a CoralTree Hospitality hotel via a third party reservation service, that company will need to provide us your reservation information.  Additionally, we may obtain information about you and your reservation from our third party providers that help facilitate the processing of your reservation when made via our Website.  From time to time, we may also use or augment the Personal Information we have about you with information obtained from these third parties.

How We Use Your Information

CoralTree Hospitality uses your information to provide you access to, and facilitate your use of our Sites and other Services.  For instance, we will use your information to facilitate your reservation, personalize your Website experience when you use our Website and other Services such as by customizing the content we provide to you, and by fulfilling other requests made through the Website.

We also use the information you provide or information we collect and/or aggregate to understand and analyze the usage trends, interests, and preferences of our users, and to improve the way the Website looks and works.  We also use this information to create helpful new features and functionality.

Various aspects of the Website, such as content on the Website, and email messages we send you in connection with your use of the Website may include advertisements that may be selected for you based on your demographic information, interests, preferences, and usage patterns within the Website.

We may also use “automatically collected” information and “cookies” information to:

(a) personalize our services, such as remembering your information so that you will not have to re-enter it during your visit or the next time you visit the Website;

We also routinely remove email addresses belonging to individuals from the European Union from our records to prevent those individuals from automatically receiving such messages from us.  Individuals from the European Union must “opt-in” to receipt of the above-referenced communications and can do so by sending an email and requesting to opt-in to receiving further communications.

HOW WE DISCLOSE OR SHARE YOUR INFORMATION

CoralTree Hospitality will not sell, rent, or trade your Personal Information to any third party without your permission, however, CoralTree Hospitality may disclose or share your Personal Information under the following circumstances:

CoralTree Hospitality may release or disclose your information to third-party service providers or agents who perform functions on our behalf, or who facilitate the provision of our Services to you.  For instance, we will share your Personal Information, including your credit card number, with a third party payment processor when you make a reservation with us.  We may also provide your Personal Information to service providers or contractors to perform functions on our behalf including companies or individuals hired to publish and operate the Website, communicate news, deliver our promotional materials via e-mail and direct mail, promote our social media presence and activities, develop, enhance, market, or provide any of our products, and assist us with sending communications and performing other marketing and support functions.  Also, we may use third-party social media platforms, including third-party social media websites, to communicate with you.

We may share your information with other CoralTree Hospitality entities.  In addition, if we sell all or part of our business or make a sale or transfer of assets or are otherwise involved in a merger or other business transaction, we may transfer your Personal Information to a third party as part of that transaction.  If such transaction materially affects the manner in which your Personal Information is processed, we will notify you of such change prior to its implementation.  We may share aggregate, or summary, information regarding our customers with partners or other third parties, but we do not sell any information at the individual customer level.

From time to time, we may partner with other organizations or companies to provide co-sponsored or co-branded promotions, services, or events and may share your Personal Information with our co-sponsor(s) and partners.

We may also work with third party service providers to provide website and application development, hosting, and maintenance as well as other services for us.  To the extent it is necessary for these service providers to complete their contractual obligations to us, these third parties may access or process your Personal Information.  These disclosures are made under terms that limit the use of Personal Information to the specific purpose for which it was provided.

CoralTree Hospitality may be required to disclose your Personal information in response to a lawful and enforceable request by a law enforcement, judicial, or other public authority, or in connection with a legal obligation.  In such instances, we will disclose your Personal Information upon receipt of a court order, subpoena, or other lawful and enforceable process, or where otherwise required by law.

We may also disclose your information when there is a good faith belief that such action is necessary to investigate or protect against harmful activities to CoralTree Hospitality guests, visitors, associates, or property (including the Website), or to others (including CoralTree Hospitality). We may also share your information with our third party service providers as described in this Privacy Policy but they may use this information only to provide CoralTree Hospitality with a specific service and not for any other purpose.

INTERNATIONAL VISITORS AND TRANSFERS OF YOUR INFORMATION

The Website is hosted in the United States and is intended for visitors located within the United States.  Laws governing data collection and use in other regions of the world may differ from U.S. law.  If you are visiting this Website or utilizing services from a country other than the United States, the various communications you send and receive will necessarily result in the transfer of information across international boundaries to the United States.  This includes transmissions containing your Personal Information.

HOW LONG DO WE KEEP YOUR INFORMATION?

We keep your Personal Information to enable your continued use of our Services, for as long as it is required in order to fulfill the relevant purposes described in this Privacy Policy, as may be required by applicable law, as necessary to protect our rights and interests, or as otherwise communicated to you.  For example, we may retain your reservation information to facilitate your stay with us and to help us respond to your inquiries.

YOUR PRIVACY RIGHTS

CoralTree Hospitality will ensure that you can exercise your rights pertaining to your Personal Information, including rights as provided by various data protection laws.  CoralTree Hospitality therefore informs you that, where applicable under relevant law, you are entitled:

  • to have access to your Personal Information upon simple request – that is, you may receive a copy of such data upon request, unless for example, such data is made directly available to you within your personal account;
  • to have access upon simple request, and free of charge, the categories and names of addresses of third parties that have received Personal Information for direct marketing purposes;
  • to obtain a rectification of your Personal Information should it be inaccurate, incomplete or obsolete;
  • to obtain the deletion of your Personal Information in the situations set forth by applicable data protection law (the “right to be forgotten”).
  • to withdraw your consent to the data processing without affecting the lawfulness of processing, where your Personal Information has been collected and processed on the basis of your consent;

We will strive and work to resolve any inquiry you may have regarding our privacy practices.  EU residents may also file a complaint before a competent data protection authority regarding the processing of your Personal Data.  While we suggest that you contact us beforehand, if you wish to exercise this right, you should contact the competent data protection authority directly.

PROTECTING YOUR INFORMATION

CoralTree Hospitality takes reasonable an appropriate security measures to protect your information from loss, misuse, and unauthorized access, alteration, disclosure, and destruction.  We employ certain physical, managerial, and technical measures designed to improve the integrity and security of the Website and the personal information you transmit to us and that we store on our systems.

Additionally, Personal Information is stored using commercially reasonable security measures. CHILDREN

All of CoralTree Hospitality’s Services, including our Website, are intended for adult audiences.  We do not offer or provide products and services for, and none of our products or services are intended for or directed to anyone under 18.  As such, children under 18 may not use our Website.  If you are under 18, do not attempt to register for or use any of our Services, including our Website and do not provide us any Personal Information about yourself.

If we learn that any Personal Information of any person under the age of 16 has been collected on the Website, we will take the appropriate steps to delete this information. DO NOT TRACK

Your browser and other mechanisms may permit you to send do-not-track signals or other similar signals to express your preferences regarding online tracking. However, because there is not yet a defined response to do-not-track requests, our Website does not respond to your browser’s do-not-track request. As noted above, third parties, such as our advertising partners, may collect data that relates to you. We cannot control third parties’ responses to do-not-track signals or other such mechanisms. YOUR CALIFORNIA PRIVACY RIGHTS

As noted above, you may apply for employment with CoralTree Hospitality via our Website.  CoralTree Hospitality uses tools hosted by third parties on their websites to collect information from individuals that wish to be considered for potential employment.

CoralTree Hospitality will not use the information you provide for any purpose other than to allow you to conduct automated job searches or determine your qualifications for potential employment with CoralTree Hospitality .
